Position Summary:

The Senior Administrative Coordinator provides college-level administrative support in the Office of the Dean.

Position Specific Responsibilities:
  • Provide front-line administrative support for the office including welcoming guests, answering and triaging incoming phone calls/messages and visits to the Dean’s Office. Respond to general questions regarding the College’s academic departments as well as programs and services. Responds to inquiries in a timely and professional manner.
  • Regularly performs a significant amount of work that requires a degree of expertise. Composes correspondence which may be of a confidential nature.
  • Organizes & coordinates events, conferences, and/or meetings according to University event policies and procedures; may coordinate itineraries involving travel.
  • Make purchases, pay invoices and authorize reimbursements and award payments on behalf of the Dean’s Office. Monitor and reconcile expenses via Concur.
  • Compile and organize information for reports or presentations; will respond to correspondence; may edit and proof read documents; may maintain records and databases, and update them as necessary.
  • Hire, train and supervise Work Study students.
  • Perform other duties as assigned or requested.
Experience/Qualifications:
  • Minimum of 4 years administrative assistant experience; academic environment experience highly desirable. Ability to interact proficiently with students, faculty, and other staff members.
  • Ability to perform complex administrative work independently and efficiently; manage multiple conflicting priorities; compose clear, comprehensive reports and keep accurate records; maintain a high level of confidentiality.
  • Demonstrated computer competency and preferably knowledgeable of Microsoft Office Professional systems; Demonstrated communication skills, both written and oral.
Required Education:
  • Typically a Bachelor’s Degree or vocational school preferably including or supplemented by courses in office practices; typing and computer skills and/or various activities. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
